Velox Systems gives small businesses operating systems they own. This policy explains how we collect, use, retain, and protect personal information per the Personal Information Protection and Electronic Documents Act (PIPEDA) of Canada.

2. Information we collect

When you contact Velox through this website, the discovery call form, or email, we collect:

  • Name and email address
  • Company name and role (if provided)
  • Any operational details you choose to share during the inquiry

During a Velox engagement, we additionally collect operational data necessary to build and maintain the Admin Suite for your business. The scope is defined in your engagement contract.

3. How we use information

  • Respond to inquiries and schedule discovery calls
  • Scope, build, and maintain the Admin Suite for engaged clients
  • Send service-related communications (invoices, system updates, scheduled maintenance)

We do not sell, rent, or share personal information with third parties for marketing purposes.

4. Data residency

Canadian data residency is default. Operational data we hold for engaged clients is stored on infrastructure located in Canada unless explicitly agreed otherwise in your engagement contract.

5. Data retention

Inquiry data submitted via the discovery call form is retained for up to 24 months for follow-up and pipeline purposes. Engaged-client operational data is retained per the engagement contract and deleted on request after engagement end (subject to legal retention requirements for tax and contract records).

6. Your rights

Under PIPEDA, you may:

  • Request access to the personal information we hold about you
  • Request correction of inaccurate information
  • Withdraw consent and request deletion (subject to legal retention)
  • File a complaint with the Office of the Privacy Commissioner of Canada

We may update this policy as our practices evolve. The Last updated date at the top of this page reflects the most recent change. Material changes will be communicated to engaged clients via the contact email on file.
